B2. Sub Goal:  Implement Open Space Technology for DHSC Full Meetings and an on-line collaboration process

Short Title: Open Space

Background and Objective of Goal:

In order to be as efficient as possible, increase the energy and excitement of the group and to improve participation in order to more quickly achieve our stated goals and objectives, we are exploring a new format called Open Space Technology or OST. There are some potential advantages to utilizing this methodology in order to allow the most participation possible and to see where folks are really interested and ready to take action so we can get to the doing vs. just the talking about doing.

Test Open Space at November Full Meeting

Status and Comments:

  • 7/11/08
    • The following is planned for the November Full Meeting | 2 Hours:

      All Committee Chairs or Representative’s are encouraged to attend. The meeting will allow for new participation or realignment of participation (for those assigned to one group but having passion for something else) as well as action planning. Whether your committee is in full swing, or yet to get going, this will provide a unique and effective meeting forum.

      •30 Minutes for Steering Committee to give a brief overview of what’s going on – with handouts for more detail if necessary. Lunch will be served during this time.
      •20 Minutes for intro to Open Space Technology and Session Topics to be identified
      •55 Min for Breakout Sessions
      •15 Minutes for Session Summaries and Closing

      The session topics will be created at the beginning of the event by the participants and Committee Chairs; within the event participants can move in and out of events as they please; and there are no ‘experts’, or conversely, everyone’s an ‘expert’ as everyone can contribute or not regardless of ‘status’ in the community.

      What is still in need of being identified is the standardized way for information to be assimilated to keep participants apprised of what is going on in the DHSC community in a simple, fast and easy way so that it’s easy to upkeep and anyone can tap in to find out what’s going on and jump in. The resounding suggestion currently is within HRTC. This could be offered as a topic for discussion in a break out session if no consensus is identified prior.

      It is recognized that to do something new and unfamiliar is a leap of faith. To some, this may look like mayhem, but for over 30 years all over the world, for every imaginable topic, Open Space has been successful.

      Future or Virtual Gathering Options: We are all busy and have too many meetings to go to already. In order to be most efficient, future communication can be done virtually or online to save travel time and increase the available times that folks can participate without ‘leaving home or work.’
